Why switch to Cloud based Office (Office 365)

10/01/2023Webmaster

If you run a business, chances are that you’ve been using Office applications for a long time. Applications like Word, Outlook, Excell, Access, Power Point and so on. You bought a CD from PC World or an Online store, then installed it on your computer. If you needed to install the software on more than one computer, then you had to pay for more licenses which would work out a lot more expensive.

In addition to that, every now then you had to download the latest updates and bug fixes for each machine, a tedious work and time-consuming process. The obvious problem was that if you had saved your work in the office computer, to carry on working on it, you had to be in the office. Or if you had done some work on your files in your home laptop, you had to manually copy over the most updated file to the old file and over-write them so that you had a consistent updated file everywhere. Do you see the problem?!

13 reason why you should switch to Office online or Office in Cloud – Office 365

  • It is the same familiar interface that you have been using till now.
  • It is updated for you by Microsoft directly without impacting you. You don’t have to worry about keeping your software up-to-date or download bug fixes.
  • Not only you can install the latest version of Office in your computer, you also have access to an online version of Office. Hence, as soon as you are connect to internet from anywhere (home, office, train, on holiday…) your files in your computer will sync with online version, hence you always have the most updated files available to you. You don’t need to copy them manually for anyone else.
  • With one license, you can install the app on 5 devices, and it works on laptop, iPad, Apple devices, any kind of mobile devices.
  • You will have access to your business emails on the go. You don’t need to be physically in the office to check your business emails.
  • You can use the most versatile collaborative tool called Teams for chatting with colleagues and co-workers, with customers and suppliers. Hold meeting on the go. Use Teams to call free internal calls regardless of your location. You can utilise Teams to call outside organisations or even international calls very cheaply.
  • You can have a massive 50G computer storage per license.
  • All your files are backed up in the cloud, hence if you lose your laptop, you will not lose business critical files, they are in backed up in the cloud.
  • You get a massive 1TB space for file storage. Or you can set it up to backup your important files of your computer automatically by synching to OneDrive. So it doesn’t matter if you lose your laptop, your files are available to you in OneDrive which you can re-store them back.
  • You can benefit from an extra application at no extra cost, called SharePoint. This is a private website for internal use. You can publish company rules and handbooks online for your staff. You can also share files using SharePoint. For example, if you create a file or a quote and rely on other colleagues to finish it off, then just save it in SharePoint and give access to colleagues to continue the file. – Collaboration.
  • Office 365 offers some extra facilities such as message trace, some automatic email filtering.
  • Office 365 offers MFA (Multifactor Authentication), which is a second layer of security for your files and emails. After logging to your account, you will get a code by SMS to check your identity, or you can use Microsoft Authenticator App on your mobile phone to generate a random code to securely identify you. This is useful when you login to your account out of your office environment.
  • You only pay for the license you use. If an employee leave you, you can suspend his license and avoid paying for it.

Better collaboration, more productive approach to business, work from anywhere, encrypted files and email hence extra security combined with MFA, data loss prevention with automatic file backup, and a lot more that you should be thinking about.
